Launching Assessments with Object Records

When you create and launch assessments across the OneTrust application, associated project objects can be linked to these items. This empowers the platform to link assessments in the context of the Projects Object so these records are accessed in tandem.

To create templates with Object Records

  1. On the PIA & DPIA Automation menu, select Setup > Templates.

    The Templates screen appears.

  2. Click the Choose from Gallery button to create one from the Gallery, or click Create Custom Template button to create your own.

    The Template Details screen appears.

  3. Define your template structure as needed.
  4. Drag the Object question type into the desired builder section.


    The Question Builder modal appears.

  5. The Question Type field will default to Object.
  6. In the Question Configuration section, select the Projects Object. You can add additional questions using the Attribute question type to retrieve attributes related to the Projects Object.
  7. Manage the remaining settings, response configurations and the desired question using the builder options.
    Important:

    If you have chosen the Inventory question type, you will not be able to select Projects as the desired inventory type. Please use the Object question type as seen in step 4 above.



  8. Click the Save button. The new object question type will be shown in the template builder.

To launch an assessment from an Object Record

  1. On the Data Mapping Automation menu, select Objects.

    The Objects screen appears.

  2. Select Projects.

    The Projects screen appears.

  3. Select an Object Record.

    The Inventory Details screen appears.

  4. Click the Context Menu icon, then select Launch Assessment.

    The Create Assessments screen appears.

  5. Complete the fields and ensure you select the template configured with the object question type(s).


  6. Click the Create and Send button.
    The assessment will be launched and the respondent will be notified.

To link an assessment

  1. On the Data Mapping Automation menu, select Objects.

    The Objects screen appears.

  2. Select Projects.

    The Projects screen appears.

  3. Select an Object Record.

    The Inventory Details screen appears.

  4. Click the Context Menu icon, then select Link Assessment.

    The Link Assessments modal appears.

  5. Select your desired assessment template and the associated assessment(s).
    Note:

    There must an available assessment for the selected template.



  6. Click the Link button.
  7. In the Inventory Details screen, navigate to the Assessments tab.
  8. Observe that your newly linked assessment is listed.
