Table Enhancements User Guide
OneTrust is introducing table enhancements across various areas of the OneTrust Platform. Table enhancements are being introduced gradually and may not be available in all products at this time. For more information, see Table Enhancements Across the OneTrust Platform.
This guide provides a comprehensive overview of enhanced table functionalities that will be introduced gradually across various tables and products throughout the OneTrust Platform over time. These table functionalities were designed to improve how users interact with, manage, and analyze data. Use this guide to understand what each functionality does, how to use it, and the value it brings to your day-to-day tasks.
The following image illustrates the visual differences between the original and enhanced table designs. Please note that the functionalities detailed below will only apply to enhanced tables but not all functionalities may be available for those tables.
View Management & Navigation
Saved Views
Saved views offer preserved table configurations for quick access. Certain tables may have predefined OneTrust default views available along with the ability for users to create custom views. Where applicable, OneTrust's default view will represent the recommended configuration, optimized for the core job to be done. Additional predefined saved views may also be available.
To access saved views, click the arrow next to the view selector and select the view you want to switch to. If available, you can create custom views by configuring the columns, formatting the table, and clicking the Save as button. Existing saved views can be managed by clicking the Manage views button.
Pagination
Enhanced tables allow users to increase visible table rows (e.g. 20, 50, 100, etc.) and navigate between table pages to simplify analysis of large data sets.
To adjust the number of records that display on screen, click the arrow next to the #/page option at the bottom of the table and select the desired record count. The quantities available within this dropdown may vary across tables and products. To navigate directly to a specific page, enter the page number in the Go to page field and click the Go button.
Layout & Customization
Column Width
Adjustable column widths allow users to manually adjust the width of table columns to display more or less of the content in each field and make better use of the available screen space. This functionality can be useful when dealing with data fields of varying lengths or when you need to prioritize visibility for specific columns.
To resize a column, place your cursor in the header row between the columns you want to resize. A line will appear which you can drag to manually adjust the column width. The column width cannot be smaller than the column header. Please note that if a column has been frozen, that column cannot be resized.
Column Visibility
The Manage columns modal (available on applicable tables) provides users with the ability to define which columns are visible within the table. This functionality can be used to personalize the table with the information most important to you. You can configure which columns appear in the table by clicking the Manage Columns icon to access the Manage columns modal.
- Show Columns

Styles & Formatting
For tables that offer the Manage columns modal, users can further customize the table by defining additional styling options. This functionality can be used to personalize the interface by freezing columns or enabling alternate row colors to suit your preferences. The following customizations are available by clicking the Manage Columns icon to access the Manage columns modal.

Data Organization & Filtering
Search
Users can quickly search for specific records within the table by entering keywords. This feature filters the list of records down to only the records that contain the search terms, streamlining navigation through large datasets.
To search for specific records, type your keywords into the Search field located above the table and press Enter. The table will automatically filter and display only the records that match your query. Please note that not all columns within a table will be searchable, and these columns will vary by product and table.
Sort
Certain tables support the ability to sort records in ascending or descending order by specific columns. Sort functionality may be available for some but not all columns within a given table. This functionality helps users organize data based on their preferred criteria, such as alphabetical or numerical order.
To sort records by a specific column, locate columns that support the functionality and click the header for that column. A double-arrow icon will indicate whether sorting is supported for a given column. When clicked, the icon within the column header will change into a single arrow that will indicate that the table was sorted in ascending order. Click the same column header again to sort the records in the opposite order.
Filter: Simple, Advanced & Pinned
Filters allow users to narrow down table data based on specific criteria, making it easier to focus on relevant records. Filtering options range from simple keyword filters to advanced multi-criteria filters. You can add filters to tables by clicking the + Add filter button located at the top left of the table.
To add a simple filter, click the + Add filter button and select the field and value that you want to filter on. By default, the simple filter will use the operator "is" to apply the Field = Value criteria. For example, based on the selected field and value in the image on the right, Data source = Data source A would be applied as the filter criteria.
To apply advanced filters, click the + Add filter button and select the Advanced filter option. Advanced filters offer additional operators, such as "is not" and "doesn't include," that can be used to further define your filter. The operators available within the Advanced filter modal will vary based on the selected filter criteria.
In addition, some tables may also include pinned filters for common fields that a given table is often filtered by. The fields available for the pinned filters are predefined (if available) and cannot be customized by users. You can select a value within the selection field for a pinned filter to quickly apply the Field = Value criteria in a few clicks.
Data Interaction
Table Actions
Table actions are operations that apply to the entire dataset or table view. These actions display as icons above the table and can be executed with a single click. This provides users with quick access to high-level operations, such as exporting data or refreshing a table.
The available table action icons will vary by table. For example, the export action may be available as a standalone icon or within a context menu. To execute an action, simply click the corresponding icon.
Bulk Record Actions
Bulk record actions allow users to perform operations on multiple rows at once, such as updating several records simultaneously. This functionality significantly speeds up repetitive tasks and ensures consistency when applying changes across large sets of data.
To complete a bulk action, select the desired rows using the checkboxes in the first column, then choose the appropriate action from the bulk actions buttons that appear above the header row of the table.
Individual Record Actions
Individual record actions are operations that can be performed on a single row within a table. This functionality enables precise control over individual records, allowing users to make targeted updates without affecting the rest of the dataset.
To access the actions available for an individual record, click the Context Menu icon corresponding to that particular record at the start of the row, then choose the appropriate action. The actions available within a given Context menu will vary across tables and products.
