Using the Projects Inventory
Projects is a common inventory type that can share common objects used across the currently available modules. Sample projects could be used to identify an upcoming product, feature, process, or anything else that needs review. A OneTrust user can create a project to signal to the privacy team that they’ll need a privacy review soon on the said item.

Projects Inventory Use Cases
Exploratory Features & Products
Projects allows organizations to implement a methodology for associating exploratory features and products with privacy by design as a focus. Customers can create new project records and conduct an assessment to provide insight into how the new product might impact their current privacy program and, in turn, make informed decisions based on their findings.
Existing Company Products
Tracking and grouping the metadata of a project that involves multiple processing activities, entities, assets, and vendors can be an exhaustive and daunting task. Project shortcuts this by connecting said objects/items to a single Project object for improved organization and visibility.
Acquisitions & Merging Privacy Concerns
Planning acquisitions of another company may pose inherent risk to the purchasing company's privacy programs. To address this issue, customers can create new project records that address each of the privacy concerns related to the acquisition. A Privacy by Design framework can be applied to each record to ensure that privacy is considered in all decision-making processes to avoid any risks.

Projects FAQ
What licenses are eligible for Projects?
Only customers with the Enterprise license type for PIA & DPIA Automation will be able to use Projects with the PIA & DPIA Automation and Data Mapping Automation modules.
Existing Data Mapping Automation customers will need to purchase an Enterprise PIA & DPIA license in order to see Projects within the Data Mapping Automation module.
For more information, see Projects Eligibility.
Why is Projects not grouped underneath the Inventory tab?
Projects is defined through a new entity framework intended to be a global object. Objects created through the Global Data Manager, including Projects, will appear within the Objects tab. . Furthermore, Projects can expand to other modules which do not have Inventory objects.
Why can I not manage attributes for Projects within Data Mapping Automation or PIA & DPIA Automation modules?
These modules maintain a different attribute library (Inventory Attribute Manager vs Attribute Manager Library). Attribute modifications can be initiated through the same Inventory Manager but will redirect the user to the Global Data Manager.
Can I relate Projects to existing Inventory?
Yes, Projects can be related to all four existing Inventory Objects: Assets, Entities, Vendors, and Processing Activities.
Is this inventory available in IT & Security Risk Management (ITRM)?
No, not at this time.
Will I see Projects if I am a GRC customer without Data Mapping Automation or Advanced/Enterprise PIA & DPIA Automation?
No. For more information, see Projects Eligibility.
What is the maximum characters allowed in the Text field in the Project Inventory?
From our investigation and quick tests, we have observed that the maximum limit for the text field in the Project Inventory is 1000 characters. If you encounter an error message that reads, "Maximum permissible length for," while mass importing some project attributes, it's likely due to exceeding this character limit. We recommend keeping the length of your text field input below 1000 characters while importing to avoid this issue.
