Overview

The Dow Jones Usage Tracking dashboard is designed to show a comprehensive view of all screening and monitoring usage within a tenant. Third-Party Due Diligence users can purchase screening and monitoring usage in various increments. Screening and monitoring will identify known risks of entities and individuals. Dow Jones invoices OneTrust for the purchased screening and monitoring usage using factors below:

  1. The screening and monitoring subscription quantity purchased.

  2. The screening and monitoring usage in OneTrust.

OneTrust must be able to track usage by each tenant against their subscription quantity. Third-Party Due Diligence users should also be aware of their current usage so that they can allocate budget to purchase more if they are on track to exceed their usage during a specific term.

Dow Jones usage tracking allows users to easily review the current screening and monitoring usage and identify the usage available for the next contract term. The contract term will always be broken into an annual term (365 days). The start and end date of each tenant as well as the contract length will vary. The new usage tracking feature provides helpful dashboard widgets that display views of the usage calculation breakdown.

Usage Calculation Breakdown

Usage is tracked for each product (SKU) purchased by a user. Your usage is calculated in the following ways, based on tenant user activity.

Important:

Each unique name being monitored at the end of a current term will count as one record toward usage at the start of the next term.

  1. Screening & Monitoring: Each unique name submitted for screening and monitoring in the same request will count as one record toward usage during a specific term. This calculation includes all actively monitored entities (persons, organizations, and linked entities) in the current term.

  2. Screening Only: Each unique name submitted for screening only will count as one record toward usage during a specific term. This calculation includes all actively screened entities (persons, organizations, and linked entities) in the current term.

  3. Monitoring Only: Each unique name submitted for monitoring only will count as one record toward usage during a specific term. This calculation includes all actively monitored entities (persons, organizations, and linked entities) in the current term.

What is the usage against the contracted amount for the current term?

This widget allows you to review the number of unique names that have been screened and/or monitored. It displays the amount of usage in the current term (used) and then deducts the used amount from the total purchased amount (available to use).

An in-app notification and email will be sent if your organization has hit 95% of your purchased screening subscription. Another notification will be sent if your organization exceeds 100% of your purchased subscription. Reach out to your account executive to increase your organization's purchased screening and monitoring subscription to resolve any overages incurred.

What is the status of the unique names previously submitted for monitoring?

This widget allows you to review the status of all unique names submitted to Dow Jones that included ongoing daily monitoring. It displays the unique names that are being actively monitored or that had monitoring terminated within your tenant.

How many unique names can be submitted for monitoring in the next term?

This widget allows you to review the number of actively monitored third-parties and linked entities that will count against usage in the next contract term. It can be used to help you determine if there is a need to increase current subscription levels for the next term.
