Issues Intake via Assessments in the Self-Service Portal

Important:

The Issues Intake via Assessments in the Self-Service Portal feature is under Public Preview. Please contact OneTrust Support to request early access.

You can allow anyone in your organization to submit issues for your review via assessments in the Self Service Portal.

This method of intake allows your less frequent business users to submit issues through a simplified form, where they are only providing information for specific attributes, and also ensures the issues are subject to review before they become official records in OneTrust.

To create an issue using an assessment, complete the following steps:

  1. Configure an Assessment Template

  2. Make the Issue Assessment Template Available on the Self Service Portal

  3. Launch the Assessment to Intake Issues

  4. Review and Approve the Submitted Issue

1. To Configure an Assessment Template

  1. On the IT Security & Risk menu, select Templates. The ITRM Templates and Control Templates tiles appear.

  2. Select the View button where you would like to create a template.

  3. Select Create Custom Template, then configure the fields in the Create Template modal.

  4. Click Create Template. The Template Details screen appears.

  5. In the Builder tab, click Add Section. The Section Details modal appears.

  6. Enter a name for the section.

  8. Add questions to the template. Use the Assess Issue assessment question type to add a question where an issue can be created on the assessment. Configure the question as needed in the Question Builder.

    Important:

Ensure Create New Issues is toggled on.

  9. Click Save.

  10. Add supporting Attribute Type question types to the template (e.g., Description, Owner, Issue Type). You can drag and drop the Attribute question tile under the Assess Issue question, or click the Create a Question button.
