Integrating Tasks with External Systems

Important:

The Integrate Tasks with External Systems feature is under Public Preview. Please contact OneTrust Support to request early access.

You can manage tasks created within the OneTrust Platform across external systems by creating integrations. The following procedures use Jira as an example to illustrate how to integrate tasks with an external system.

Prerequisites

Before creating your integration, you need to first configure and verify the credentials that will allow OneTrust to access the external system for the integration. For more information, see Configuring Integration Credentials. Once created, you can proceed with creating the integration.

To create an integration workflow for tasks

  1. On the Integrations menu, select Integrations.
    The Integrations screen appears.
  2. Click the Add integration button.

    Field
    Description
    Integration name

Enter a name for the workflow.

    Description(Optional)

Enter a description for the workflow.

    System

Select the system that you want to integrate with, such as JIRA.

    Notification email

Enter a valid email address to which notifications will be sent.

  3. Click the Add button.
    The Integration builder screen appears.
  4. For more information on configuring integration triggers and actions, see To configure the integration.

To configure the integration

Note:

The Integration builder screen will appear when new integrations are created. You can also access the Integration builder screen by clicking the name of the integration on the Integrations screen.

  1. Configure the OneTrust triggers from which the integration should launch by selecting Task and the necessary trigger. The following task integration events are available:

    Event

    Description

    Task Add Attachment

The workflow will be triggered when an attachment is added to a task.

    Task Add Comment

The workflow will be triggered when a comment is added to a task.

    Task Created

The workflow will be triggered when a task is created.

    Task Deleted

The workflow will be triggered when a task is deleted.

    Task Remove Attachment

The workflow will be triggered when an attachment is removed from a task.

    Task Updated

The workflow will be triggered when a task is updated.

  2. Click the Add action button. The Add action section appears.

  3. Select an action from the System tab. The integration will initiate the selected action in the external system. System actions are configured by selecting the relevant credentials.
  4. Select and configure the action's request, response, and settings for error handling.
    Note:

If you choose to launch an integration from an existing system, the available action choices will be conditional to the chosen system, such as Jira. You can also customize the body of the request to meet the specific needs or circumstances of the integration.

  5. Add and configure additional steps as needed.
  6. Click the Finish button.
  7. Click the Save button. You can then test the integration and activate it for use.
    Note:

For more information, see Managing Custom Integrations.
