Exporting Results for Data Redaction

You can export a file of the Results Summary to share with others on your privacy team for additional review of redacted content. OneTrust currently supports .csv and .pdf report types for report flexibility.

Additionally, OneTrust Reports provides seeded PDF templates for Results Summaries exports and Result Summaries exports with Data Redaction. For more information, see the Results Summary PDF Options section below.

This article is only applicable to Data Redaction customers who have also purchased Targeted Data Discovery (TDD) to facilitate their request fulfillment.

Note:

This article references UI components and configuration practices that are considered part of the Legacy workflow. OneTrust encourages all Data Redaction customers to migrate their redaction management to the Unified Product released in OneTrust 6.31. For more information, see OneTrust DSAR Redaction Feature Guide.

Results Summary Export

When a user clicks Export from the Context Menu of a Results Summary screen, two reports will be generated in the Alert Center

To export results
  1. On the Privacy Rights Automation menu, select Requests.
    The Screen Name screen appears.
  2. Select a Request.
    The Data Subject Request Details screen appears.
  3. Click the Results Summary button.
    The Results Summary screen appears.
  4. Click the Context Menu icon, then select Export.
    The Export Results modal appears.
  5. Provide a name for the report and select which Report Type option. The PDF option will populate a field to select the report template.

  6. Click the Export button.
  7. The export will be available in the Alerts Center for download.

Results Summary PDF Options

Request approvers can export a Results Summary to share data results with two report file format options.

Results Summary PDF

This template is generally available for OneTrust Privacy Rights Automation customers to report on their Result Summary findings.

Result Summary PDF (With Redaction)

This template is only available to OneTrust Data Redaction customers in order to report on their unstructured data results when exporting their Result Summary findings.

You will need to create a report template from the Reports module, which is fully customizable with company branding and options to include request details, structured data or a disclaimer.

.zip

Compressed file that contains a .pdf file for each unstructured data result.

Redacted data elements will be hidden by a dark grey bar.

The .pdf file will be titled using the Name value seen in the Results Summary screen.

  • Any special characters in the unstructured result record’s name will be removed from the file name.

  • If the unstructured result record name ONLY contains special characters, the system will not generate a .pdf file for this record.

To create the Results Summary (With Redaction) template

  1. On the Reports menu, click the Create New button.

    The Select a Template screen appears.

  2. Select Privacy Rights Automation > Result Summary PDFn(With Redaction).
  3. Click the Next button.

    The Report Details screen appears.

  4. Complete the fields, then click the Create button.

  5. The report template will have a few sections available by default. Use the builder to add more attribute and sections, as necessary, to build a custom report.

  6. Use the Settings tab to configure custom headers and provide organization logos for a fully customizable report.
Note:

You cannot add dynamic variables to the text area of the Results Summary PDF report. To address the data subject directly using dynamic variables, customize your Response Templates or Email Templates.
