Configuring Custom Names for Rule-Launched Assessments

Using assessments, you can customize naming for assessments launched from template rules. Custom names support variables and static characters.

Custom naming is available for assessments launched by the following template rules:

  • Send Assessment Upon Approval

  • Send Assessment Upon Submission

When the assessment rule action is triggered, the launched assessment will be named in accordance with the naming schema, with variables being replaced with the related value. If the variable does not have a value, it will be replaced with nothing (null).

For example, for the variable __OriginalAssessmentTags__, if the original assessment had no tags, the variable would return nothing.

Changes to the naming convention is optional. If unchanged, assessment names will follow the default naming convention:

CODE
__OriginalAssessmentName__ - __SelectedAssessmentTemplateName__

To update the assessment naming schema

To change the naming convention, update the Assessment name field in the Action section of the template rule. The naming schema supports both variables and standard text.

  1. On the PIA & DPIA Automation menu, select Templates. The Templates screen appears.

  2. Hover over the tile of the draft template you want to add a rule to until the Edit Draft button appears.
    Note:

If the template has already been published, click the View button on the template tile and select the Create New Version button on the Template Details screen to create a new draft.

  3. Click the Edit Draft button. The Template Builder screen appears.

  4. Select the Rules tab.
  5. Click the Add Rule button, or click the Context Menu icon next to an existing rule and select Edit.
  6. In the Action section, select Send Assessment Upon Approval or Send Assessment Upon Submission.
  7. Select a template in the Template Name field.
  8. Enter the assessment name in the Assessment name field.
    Note:

By default, the assessment name will be configured as __OriginalAssessmentName__ - __SelectedAssessmentTemplateName__.

  9. Click the Save button.
