Adding, Editing, and Deleting Rules

You can use rules to automatically trigger a specified action based on configurable criteria. Rules can be added, copied, edited and moved as needed to a draft template in order to meet the specific needs of your organization.

Note:

You cannot make changes to the rule configuration for a published template. To update the rules for a template, you need to create a new draft version. For more information, see Creating a New Version of a Template.

Editing and manipulation of questions could remove or change the rules that accompany those questions.

To add a rule

  1. On the PIA & DPIA Automation menu, select Templates. The Templates screen appears.

  2. Hover over the tile of the draft template you want to add a rule to until the Edit draft button appears.
  3. Click the Edit draft button. The Template builder screen appears.

  4. Select the Rules tab.
  5. Click the Add rule button.
  6. Complete the fields. For more information, see the following screen references.
  7. Click the Save button.

Send Assessment

Field
Description
Action

Select Send assessment upon approval to automatically launch an additional assessment when the specified conditions are met.

Select Send assessment upon submission to automatically launch an additional assessment when the specified conditions are met.

Note:

When an approved assessment launches a follow‑up assessment that is later deleted, re‑approving the original assessment will not relaunch the follow‑up unless the deleted assessment is also removed from the recycle bin, as the rule will not retrigger if the deleted item still exists.

Note:

When either action launches a follow-up assessment, respondents are assigned to the assessment as a whole. The rule does not support assigning respondents to individual sections. As a result, Consecutive section completion is not enforced for assessments launched by these actions.
