OneTrust DSAR Redaction Feature Guide
OneTrust DSAR Redaction is a powerful feature set that empowers organizations to upload, scan, and auto-redact sensitive information from files being used to service request fulfillment in the application, in addition to execute common redaction use cases with ease in robust data industries like legal, healthcare, finance, government, and more.
This article is intended as guidance to the full suite of features, options, and procedural steps available for OneTrust DSAR Redaction. Each of the sections below contains links to individual articles for more focused product documentation.
Manage Redaction Preferences
Before you can begin with redaction management, we recommend reviewing the default classifiers provided by OneTrust and configure your organization's custom redaction preferences for your unique data elements. Accessible from the Results Summary, the Redaction Preferences screen shows full list of classifiers that are detected and redacted by default.
Additionally, you can add custom data elements commonly used in your organization and apply a redaction preference for all future instances where they appear in the files.
For more information and procedural guidance, see Managing Redaction Preferences.
Uploading and Marking Files for Redaction
After reviewing and managing your organization's redaction preferences, you can manually upload files to a Results Summary that need to be included for a request. This allows users to upload files or ad hoc if they were omitted during the initial discovery. Uploaded files, depending on their type and size, will be auto-redacted and assigned to the appropriate group.
After the upload screen you can choose if the file should be submitted for redaction. You can always revisit your decision later.
For more information, auto-redaction file support, and redaction statuses, see Uploading Files for Redaction and Uploading and Sharing PST Files.
Sort, Filter, & Organize Files
Once you've upload files, they will appear in the Attachments section of the Results Summary.
-
Click the Refresh icon to retrieve the latest status. When the file is finished processing and ready for additional action, the status will update to Ready for Review.
-
Click each of the columns headers to organize the view of the table, either alphabetically or by ascending or descending order. By default, all files are organized with the newest at the top and oldest at the bottom.
-
Use the search and filter functions to quickly locate your file by name.
-
Choose if one or more files should be included or excluded from the results report. For PST files, this is supported for each file segment, so you can choose which ones should be sent instead of sending the entire compressed file.
Managing Redactions
Once the file moves to the Ready for Review status, you can select the file and open the OneTrust DSAR Redaction Tool. This unique interface allows users to preview auto-detected data elements and make additional redaction changes to their uploaded file.
For more information and in-depth procedural guidance on the available redaction options, see Reviewing Files in the OneTrust DSAR Redaction Tool.
Custom Redaction Options
In addition to the automatic and manual redaction options, you can further customize your organization's desired redaction preference with guidance text and styling options for data entities and rectangular areas.
For more information on these custom options within the tool, see Managing Custom Redactions Options.
Downloading Files
Once you've managed your redaction preferences in the OneTrust DSAR Redaction Tool, you can download the redacted file your local computer for additional internal review, record-keeping, or sharing.
For more information, see Downloading Redacted Files.
Including & Excluding Files
Before you can share results to the Privacy Portal, you need to determine if the uploaded file should be included or excluded from the report. This preference can be made for reach file within the Attachments table on the Results Summary screen. All files are included in the report by default.
For PST files, you can choose if the entire files is included/excluded, or choose which specific file segments should be included/excluded. For more information, see Uploading and Sharing PST Files.
Sharing Redacted Files
Once all sensitive third-party information is reviewed and/or redacted, OneTrust users can share results with data subjects who will be able to download these attachments from the Privacy Portal. The report and public comment sent will appear in the Activity tab on the given Data Subject Request Details screen.
For more information, see Sharing Redaction Results with Data Subjects.
The process for sharing PST files and segments varies slightly from the normal document types. For more information, see Uploading and Sharing PST Files.
