Populating an Inventory

There are many ways you can populate an inventory in OneTrust. You can use assessments to add inventory information, enter inventory records manually, add records through integration with other applications, or through bulk uploads.

The suggested workflows below show methods using assessments, manual data entry, and a combination of those two methods.

To populate an inventory using an assessment

  1. Adding, Editing, and Deactivating Attributes

Attributes describe the different aspects of an inventory record. These include things such as managing organization, location, or size.

You should set up your attributes to capture the relevant information about each type of inventory record you want to populate.

  2. Adding, Editing, and Deleting Personal Data

Data elements are pairings of a type of data subject with a type of data being collected.

You should set up data elements that describe each type of data you collect about each category of data subject.

  3. Creating a New Template

Templates are used to launch assessments.

You can configure assessment templates to capture information about inventory records using inventory and attribute questions.

  4. Launching an Inventory Assessment

Send an assessment to collect information about an inventory record.

  5. Reviewing and Completing an Assessment

Respondents can answer assessment questions and submit them for approval.

  6. Reviewing and Completing an Assessment

Approve the assessment responses submitted, or send back for more information.

  7. Searching in the Inventory

The inventory record is populated with data once the assessment is approved.
