Viewing a Results Summary

You can view a summary of Targeted Data Discovery (TDD) results for a data subject request. You can also add and edit summary groups to associate related Personally Identifiable Information (PII) collected by TDD.

Note:

In order to generate a TDD results summary, you must configure a request workflow with a TDD integration. For more information about configuring a TDD integration, see Configuring a Targeted Data Discovery Results Summary.

To view the Results Summary

  1. On the Privacy Rights Automation menu, select Requests. The Requests screen appears.

  2. Click on a request in the list. The Data subject request details screen appears.

  3. Click the Results summary button. The Results summary screen appears.

  4. The Results summary includes a few tabs for organizing personal information collected from during request fulfillment and managing reporting and redaction preferences for uploaded files.

    Structured data

    Contains structured data points uploaded by a user or identified by Targeted Data Discovery.

    Unstructured data

    Contains unstructured data points uploaded by a user or identified by Targeted Data Discovery.

    Attachments

    Contains files needed for fulfillment with options for reporting to the Privacy Portal and managing your redaction preferences.

    Note:

    Data identified in an Excel attachment may be located in a hidden worksheet, hidden rows or columns, or filtered-out rows. When reviewing an attachment, check all worksheets and clear filters or unhide rows, columns, and worksheets before searching for the data subject’s identifiers.

To add a new group

  1. In either the Structured data tab or Unstructured data tab, click the Create group button. The Add new group modal appears.

    The Add new group modal appears.

  2. Enter a name for the new group, then click the Add button. The new group will appear in the Results summary screen.
  3. TDD results will automatically populate in the groups configured by the payload of the respective integration workflow action.
    Tip:

    You can also dynamically create groups in the payload of the OneTrust: POST Targeted Data Discovery Summary Results action, which is configured in the Integration module's Workflow Builder screen.

To edit an existing group

  1. In either the Structured data tab or Unstructured data tab, click the Context menu of a group.
  2. Select Edit. The Edit group modal appears.

  3. Update the group name as necessary.
  4. Click the Save button.

To delete an existing group

  1. In either the Structured data tab or Unstructured data tab, click the Context menu of a group.
  2. Select Delete group. The Delete group modal appears.

  3. Confirm the deletion by clicking the Delete button. The group will be removed from the tab.

To order results in the summary

In OneTrust

You can manage the order in which data results appear in a group. These changes will be reflected in the summary export. Data points can also be moved between groups for additional customization.

On the Results summary screen, click and grag the data point to the desired placement in the group or to another group.

Through API

You can manage the order in which result groups appear in the Result summary. These changes will be reflected in the summary export.

Targeted Data Discovery endpoints are available in the Developer Portal.

Note:

You will need a developer tool like Postman that can execute REST APIs.

  1. Create a POST call with the tddapi endpoint that includes your base URL and the Request ID.
  2. In the Body, organize the group parameters in the order you wish them to appear in the Results summary screen.
  3. Click the Send button. Ensure the status code is 20X. The group order should now be reflected in the Results summary screen.
