Using Automated Comments in Request Workflows

Similar to User Subtasks or System Subtasks, Automated Comments will send public comments to data subjects when advancing to a specified workflow stage. This allows request approvers to send targeted messaging for unique workflow stages while eliminating the need to configure a system subtask that launches an integration for notification.

Note:

If your automated comment is not on a stage that is set to auto-advance, you will need to refresh the Data subject request details screen to display the comment in the Activity tab.

To add an automated comment

  1. On the Privacy Rights Automation menu, select Setup > Workflows.

    The Workflows screen appears.

  2. Click on the name of the workflow you want to edit.

    The Workflow details screen appears.

  3. For active workflows, click the Edit button.
  4. Go to the workflow stage where you want to add an automated comment.
  5. Click the Automated comment button in the Subtasks section.

  6. Complete the fields. For more information, see Add Automated Comment Modal Reference.
  7. Click the Save button.
  8. Click the Activate button to publish your workflow changes.
    Note:

    Ensure the workflow is assigned to a web form. For more information, see Managing Web Form Settings.

  9. Whenever a workflow stage is reached, the automated comment will populate as sent by the System in the Activity tab on the given request's Data subject request details screen.

Add Automated Comment Modal Reference

Description
Comment name

Enter a name that can be used to uniquely identify the automated comment in the workflow.

Comment text

Enter the comment text that will be display to the data subject when the specific workflow stage is reached.
