Entity System Attributes Guide

A legal entity inventory is a record of an organization other than a third-party service provider that is involved in your organization's data processes. Entities could be your company's subsidiaries, affiliates, or business partners.

OneTrust features out-of-the-box attributes that you can activate to gather specific information on your organization's legal entities. These attributes will display on an entity record's Inventory Details screen and can be updated manually, through bulk update, via assessment response, or using an API.

Attributes in bold are required when creating an entity inventory record. Attributes identified as editable can be edited directly on the Inventory Details screen.

The following attributes are available for use with entity inventory records:

Contact Details	Contact details of the legal entity including phone number, email address, and website if applicable.	Text	Yes

Data Protection Officer Contact Details	Contact details of the Data Protection Officer for the entity.	Text	Yes

External ID	This field contains a unique identifier for the record from a system outside of OneTrust.	Text	Yes

Internal or External	If this entity falls within your organization structure or falls under your parent company, please select internal. If this entity is outside of your organization structure, please select external.	Single-Select	Yes

Legal Entity Owner	Individual responsible for the legal entity information. Note: This attribute will pre-populate when an inventory assessment is launched for the entity.	Single-Select	Yes
